Buildertrend vs Smart Way Builds: which fits your building business?

Buildertrend vs Smart Way Builds: which fits your building business?

By Smart Way Builds ยท Updated

Short answer: shortlist Buildertrend if you want a broader residential construction platform covering project coordination, client communication and financial workflows. Shortlist Smart Way Builds if the immediate priority is cost-code budgets, supplier invoice review and answers about recorded job costs. Neither is automatically the right choice just because you are a small builder.

Features, regional availability and prices can change. Other product names belong to their respective owners.

What Buildertrend is designed to do

Buildertrend positions its product for residential builders, remodelers and other contractors. Its official financial tools include estimating, budgets, job costing, purchase orders, bills and customer invoicing, alongside wider project and client-management tools. Those capabilities matter if your buying decision extends beyond supplier costs.

Buildertrend already has AI

This is not an AI-versus-no-AI comparison. Buildertrend describes embedded AI, including bill capture. Ask both vendors to demonstrate an imperfect invoice, a mixed-trade allocation and a correction before approval. The relevant question is how the workflow fits your team, not whose page uses the word AI most often.

What US and Australian builders should check

For US teams, confirm the QuickBooks Online workflow and which subscription includes it; Smart Way Builds makes this a Connected feature. For Australian teams, confirm local availability, GST handling, currency, support hours and the exact Xero or other accounting workflow. Do not infer a regional integration from a US feature page. If live Xero sync is mandatory today, Smart Way Builds should not be presented as satisfying that requirement.

Buildertrend's pricing is quote-based. Compare the written scope, contract and included modules rather than an old price quoted by another blog.

Smart Way Builds pricing and boundaries

Core is US$250 per month for up to three active jobs. Connected is US$300 per month for unlimited active jobs and adds tender requests and the available connected features. Both include the assistant and no per user fees; that is not a promise of unlimited users. Completed and archived jobs do not count toward Core's active-job limit.

Australian pricing is displayed in converted AUD, with billing in USD. Xero is on request, not an included live automatic sync. QuickBooks Online sync is a Connected feature for the US offer; do not assume the Australian offer includes the same connections. See the US offer or Australian offer, and check current plans and regional terms before choosing.

Smart Way Builds helps read invoices, prepare reviewed cost-code budgets and answer questions using authorised company records. You approve invoices and save budgets. Approved costs are not the same as cash paid, and recorded costs do not establish final profit when invoices, labour, overhead or remaining work are missing.

Who should choose which?

Choose a Buildertrend evaluation when client coordination and wider construction administration are central requirements. Choose a Smart Way Builds evaluation when invoice-to-budget visibility and finance questions are the main bottleneck. Changing systems also involves data preparation, training and workflow changes; there is no guaranteed automatic migration.

Compare with one real job, not just a feature list

  1. Bring a budget with trade categories and a mixed supplier invoice.
  2. Ask each vendor to show the document, job allocation, tax checks and approval.
  3. Compare approved unpaid costs with the budget, not just payments.
  4. Ask what happens when a team member has view-only access.
  5. Get the current regional quote, accounting connections and data-export terms in writing.
